What Track Medical is
Track Medical (available at trackmed.ca and as a mobile application) is a personal organizational aid for healthcare professionals. It helps clinicians organize their own working notes — room occupancy, short descriptions, tasks and reminders — during a shift. It is not a medical record, not a hospital system, and not a diagnostic or treatment tool.
No identifiable patient information
Track Medical is designed to operate without identifiable health information. Users are instructed not to enter full names, medical record numbers, dates of birth, health-insurance numbers, or any other identifier. The AI assistant is likewise instructed to extract first names only and to discard identifiers. Each user is solely responsible for the content they enter on their board.
Information we collect
- Account information: your email address, and the profile you provide (name, hospital, role, department).
- Board content: the notes, tasks and lists you create. This content belongs to you.
- Technical basics: the minimum operational logs kept by our service providers (e.g. sign-in events).
We do not collect location data, contacts, advertising identifiers, or analytics profiles. We do not sell or share any data for advertising. There are no ads.
How your data is stored
Board content and account data are stored with Supabase (our database provider) and protected by per-user access rules: each user can only read and write their own board. Data is encrypted in transit (HTTPS/TLS). Sign-in uses one-time email links and codes — no passwords are stored.
AI features
When you use the AI assistant (typed notes, pasted text, or photos of documentation), that content is transmitted securely to our server and processed by an AI model (Anthropic's Claude, via API) to produce structured updates to your board. Photos are processed once and are not stored — neither by Track Medical nor as part of the request after it completes. The AI is instructed to omit identifying information from its output.
Sharing between users
The handoff feature copies a patient card to a colleague only when you explicitly send it to that colleague's account email. No other sharing between users occurs.
Emails
We send transactional emails only (sign-in links and codes, account confirmations) from info@trackmed.ca via our email provider (Brevo). We do not send marketing email.
Retention and deletion
Board content remains until you change or delete it; discharged entries in History are automatically removed after 30 days. You may delete your content at any time from the app. You can permanently delete your account and all associated data directly in the app: open the menu (⋯ on the website, More in the mobile app) and choose Delete my account — deletion is immediate and irreversible. You may also email info@trackmed.ca and we will complete the deletion within 30 days.
Biometric unlock
The mobile app offers an optional biometric lock (e.g. Face ID or fingerprint). Biometric verification happens entirely on your device through the operating system; Track Medical never receives or stores biometric data.
Notifications
Task reminders in the mobile app are scheduled locally on your device. Their content is not transmitted to us.
Legal basis and jurisdiction
Track Medical is operated by Dr. Evan Dimentberg Medical Inc. (Québec, Canada) and handles personal information in accordance with applicable Canadian and Québec privacy legislation, including PIPEDA and Québec's Act respecting the protection of personal information in the private sector (Law 25). Questions, access requests and complaints: info@trackmed.ca.
Changes
If this policy changes materially, we will update this page and its date. Continued use of Track Medical after changes constitutes acceptance.
